This policy explains what personal information Bookkyn collects, how we use it and the choices you have. Bookkyn is operated by ELI CANADA LLC, a Wyoming limited liability company ("Bookkyn", "we", "us").
Information we collect
When you visit this website
- Usage statistics. We use our hosting provider's web analytics and performance measurement to count page views and measure page speed. They work without cookies and report aggregated data, not individual profiles.
- Server logs. Our hosting provider processes technical data such as your IP address, browser type and the pages requested, to deliver and secure the site.
- Fonts. Our fonts load from Google Fonts, so your browser sends your IP address to Google when you view the site.
- Theme preference. If you switch between light and dark mode, that choice is saved in your own browser's storage. It is not sent to us.
When you contact us or book a call
We receive the information you choose to give us, such as your name, email address, company and the content of your message. Calls are booked on our own scheduling page: the details you enter there (name, email, phone, company and your answers) are kept in our business software and used to prepare the call and your quote. Calls take place by video conference.
When you become a client
We collect contact and billing details, and the financial records you provide or authorize us to access, such as bank, credit card, payment processor and payroll activity, invoices, receipts and prior financial statements. We use this information only to provide the services described in your engagement.
Business outreach
We may contact businesses by email about our services. For this we use business contact information, such as a name, work email address, company and job title, obtained from public sources or business data providers. Every outreach email lets you opt out, and we honor opt-outs promptly.
How we use information
- To provide, bill for and improve our bookkeeping services.
- To respond to inquiries, schedule calls and send quotes.
- To contact businesses about our services, with an opt-out in every message.
- To operate, secure and measure this website.
- To comply with legal obligations and enforce our agreements.
How we share information
We do not sell personal information. We share it only with:
- Service providers that help us run the business, such as our accounting and scheduling software (Odoo), cloud hosting, AI-assisted document processing, video conferencing, email providers and payment processors. They may use the information only to provide their services to us.
- People you ask us to share with, such as your CPA or tax preparer.
- Authorities, when required by law or to protect our rights.
- A successor business, if Bookkyn is sold or merged, subject to this policy.
How long we keep information
We keep client records for the engagement and for 3 years after it ends, then delete them. Clients receive their books and reports throughout the engagement with each monthly reporting pack. Website and inquiry data is kept only as long as it is useful for the purposes above.
Security
We use reasonable administrative and technical safeguards, including access controls and reputable hosted software. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
- You can ask us to access, correct or delete your personal information, subject to records we must keep by law.
- You can opt out of marketing emails at any time by replying to the email or writing to us.
- Depending on where you live, you may have additional rights under local law. Contact us to exercise them.
Children
Our services are for businesses. We do not knowingly collect information from children under 13.
Changes to this policy
We may update this policy. The effective date at the top shows when it last changed.
